New features in Procountor version 66.0

Version 66.0 of Procountor was published on Saturday, August 20th.

General

After August’s version release, you will be able to review the contents of old supplier notifications sent from Procountor. A new functionality is released to payroll: handling labor union fees. In addition, we have continued improving various report tools and average hourly calculation in payroll.

Supplier announcements

Review old supplier announcements sent from Procountor

Supplier announcements can be used to inform the suppliers about (new) invoicing addresses.

We have added possibility to preview sent supplier announcement attachments on the supplier announcement history view. Users can now browse their sent email, cover letter and actual announcement letter.

Payroll: Labor union fees

We have now introduced a new feature in Procountor’s payroll: Labor union fees. The functionality will be released in five parts.

Release schedule for the labor union fee functionality

  • The first one (released in this version) contains the setting up of labor unions.
  • The second release contains the set-up of union fees for the employees and the fixed fee salary type and its use in salary slips.
  • The third release contains the percentage based union fee salary type and its use in salary slips.
  • The fourth release contains the payment of collected union fees.
  • The olast release contains the union fee report.

Setting up labor unions

Labor union can be created in: Management > Salary info > Labor union.
When creating a labor union, consider the following topics:

  • You can’t link the unions together, i.e. there are no hierarchies.
  • You can give only one account number for a labor union.
  • Department number/information can be set as a default, but in the next release you can define a overriding department information behind the employee.
  • Only one union fee calculation method per labor union. In this release only the fixed fee is available. In the third release the percentage based fee will become available.
  • Only employer level reference numbers, either monthly or yearly level.

Other notes:

  • You can set a max fee per year (e.g. 500€ union fees per year), that the software will track. In fixed union fee the software will track on monthly level behind the employee. More on these in next releases.
  • Minimum sum (Min yearly amount per employee) won’t contain any functionality. This was added based on customer request. If you have a request how the field should function, please let us know for future development.
  • For payment of collected union fees you need to set up that based on which date the reference number is selected. E.g. if April salaries (salary payment period 1.4. – 30.4.) is paid in May (payday 5.5.) is the April or May reference number used.
  • Adjustment history tracks only the IBAN change history for now.

Creating a labor union within this view will automatically create a supplier business partner. After this, you can for example change the IBAN in either view (Management > Salary info > Labor union or Registers > Business partners).

After creating a labor union within Salary info view, the labor unions will be added to a specific business partner group for invoice creation purposes. More on this in later releases.

Notes on the funtionality’s restrictions

This union fee functionality contains support only for company level reference numbers.
The employee level reference numbers require the mass creation functionality for purchase invoices. This will be implemented in later releases. In this case use the old salary types.

We are not developing the automated reference number generation at this point.

Payroll: Average hourly calculation

The average hourly calculation functionality is extended with a few new features.

New setting: Replacing the average hourly value

In the Average hourly settings, you can now specify that the average hourly value is replaced by the base salary if the average hourly value is lower. In addition, a new “Personal hourly salary” can be defined as the base salary, replacing a low average hourly value.

A new field in the employee register: Personal hourly salary

A new field, “Personal hourly salary”, has been added to the Salary info page of the Employee register.

The field is only used for the average hourly and it is only visible if the average hourly is enabled in the user settings. A Personal hourly salary is entered only if the average hourly settings specifies that the average hourly value will be replaced by a personal hourly salary when the average hourly value is lower.

Showing the average hourly value on salary slips in case the value is not used in calculation

The average hourly value shown at the top of the salary slip is shown in parentheses if that value is not used in the salary slip because, for example, due to the low average hourly value, an hourly salary is used instead of the average hourly value.

Other improvements

Improvements to the reconciliation tools

The “Update reporting database” -button and functionality has been removed from the following reconciliation tools:

  • Reconciliation report for open invoices
  • Accounts and transactions
  • Account transaction matching report

With the launch of the new chart of accounts functions in June, the database is now automatically updated automatically as the view is loaded.

Visual improvements to the Accounting reports (new) view

The PDF previews in the Accounting reports (new) view previously divided long numbers in two rows. The readability of the report has now been improved by ensuring that all numbers are shown on a single row.

Improvements to the payment feedback messages

Procountor now shows payment feedback also from S-bank and Ålandsbanken in a situation where the account did not have enough funds to pay all payments.
