New features in Procountor version 56.0

Version 56.0 of Procountor was published on Saturday, October 16th.

General info

In version update 56.0 we release new features to balance sheet itemization. Please notice, that all new balance sheet itemization features are available only in the Procountor environments with new chart of accounts. Further information can be found below. Besides the new balance sheet itemization functions, we release minimum invoicing threshold, improve salary calculation, change the name of a user right and release several usability improvements.

Balance sheet itemization (changes for all Procountor environments)

Balance sheet item import

We have added possibility to import balance sheet items to balance sheet item register with CSV file. With the import file only balance sheet item name is brought to the register. We have also added a template file, that users can use as template for bringing balance sheet times to register.

Validations for import and balance sheet items:

  • Name can’t exist already in the register
  • Name’s max length is 255 character
  • Import file’s max number of balance sheet items are 100
  • Import file must be in CSV format

How do I know whether or not my Procountor environment has the new chart of accounts?

Your Procountor environment has the new cart of accounts if you have access to Chart of accounts (new) view in your Procountor environment. The Chart of accounts (new) view can be found from Management > Accounting info > Chart of accounts (new). There are two possibilities how your Procountor environment can have the new chart of accounts. (1) Your Procountor environment is new, and it has been created with the new chart of accounts (2) or you have older Procountor environment, but it has been migrated to the new chart of accounts. We are starting the migrations during the autumn 2021 and you will be notified, when your Procountor environment will be migrated to the new chart of accounts.

When your Procountor environment has the new chart of accounts, the following features will be available.

Search open invoices setting on Balance sheet account settings for itemization view

We have added possibility to set on Search open invoices setting in Balance sheet account settings for itemization view for account, if account is set as default for Account receivable, Account payable, Tax liability account, Default account for withhold tax or VAT liability account. Before the change this option was able to set on only for accounts with account numbers: 1700, 2880, 2920, 2930, 2935.

For example: If user changes the default account for Account receivable (1700) to 1710, then in Balance sheet account settings for itemization view it’s possible now use Search open invoices for 1710 account and the default for account 1700 is changed to be Search open balance sheet items and it’s not any more Search open invoices as default and it’s not possible to set Search open invoices for account 1700, because the 1700 account is no longer default account for receivables. Same goes with Account payable, Tax liability account, Default account for withhold tax or VAT liability account.

Default settings on Balance sheet account settings for itemization view

We have added default settings for environments with new chart of accounts. Default settings define how automatic itemization is done in balance sheet itemization. Default settings can be changed (on Balance sheet account settings for itemization view) to fit the best way you want to do automatic itemization in Balance sheet itemization view.

Automated balance sheet itemization

Automated balance sheet itemization doesn’t clear account’s transactions if account doesn’t have any settings on (no automation) in Balance sheet account settings for itemization view.

Minimum invoicing threshold

An invoice will not be sent about Procountor’s usage if the sum is less than 10 euros. When the sum of usage fees is at least 10 euros, the invoice will be sent and it might contain fees from many months.

User rights

We have changed the wording of API login only user right limitation to Allow only M2M login to API to better reflect the functionality behind this limitation. Enabling this limitation means that the user is allowed to log in to Procountor only using the API with M2M authentication method.

Payroll

Salary calculation at the end of the year

Last year, when creating salary list for January in December, Procountor reminded to update the accident insurance percentages. After October’s version release, when creating January’s salary lists, Procountor provides a list of employees that have a custom accident insurance percentage, and it is possible to update percentages directly while creating the salary list. New percentages are updated to the employees’ information. If an employee no longer needs a custom accident insurance percentage, you can update the percentage to be the same as in the company settings. After that the employee doesn’t show up on this list anymore for having a custom percentage

Change of payday

We have prevented the change of payday in salary slips if the year changes as well. I.e you can change the payday if it’s still within the same year. The payday change, even if the year changes as well, is possible in the salary list creation stage.

This change is due to making sure that the insurance percentages are correct on the salary slips.

If the payday needs to be changed to a different year, a new salary list needs to be created.

Usability improvements

Sales reporting

We have improved Sales reporting, so that the customer is shown in every group they are included. If several or all groups are selected, the sales for the customer won’t be shown as a duplicate.

Sales reporting PDF lists products on several pages rather than squeezing them into one page.

Salary types and editing the salary slip

In salary base, when using salary types 1004 Hourly salary and 1012 Personal salary share, the gross hourly salary didn’t work correctly when using quantity zero. Zero is used in case of importing hours from external systems to the salary list. This issue has been fixed.

It is no longer possible to edit salary slips if the related accounting period is closed. I.e. you need to reopen the accounting period in order to do so.

Limited-dimension rights

Previously, when using limited-dimension rights (Company), the invoice verifiers/approvers with dimension limitations couldn’t access travel/expense invoices that had those limited dimensions. Now, if a user has been marked as a verifier/approver, even with limited dimension rights, they can see the travel/expense invoices.

Cost receipt management

In future Cost Receipts management edit tool allows negative values in the price field.
